Groups requiring 10 or more total room reservations for the ACTRIMS Forum 2026 must request a sub-block within the ACTRIMS room block. To receive approval and confirm availability, organizers must submit a Group Sub-Block Request Form.
Group Sub-Block Guidelines
Group Sub-Block requests received by Friday, October 10, 2025, will be prioritized and assigned according to the submission date, support commitment level, and ACTRIMS’ ability to accommodate the request.
Only registered attendees of the ACTRIMS Forum 2026 may utilize the ACTRIMS room block. This policy will be strictly enforced, and any reservations made outside of this policy are subject to cancellation.
ACTRIMS has contractual responsibility for the payment of sleeping rooms reserved with the contracted hotels. By signing the Group Sub-Block Agreement Form, the Group is committing to and shall be responsible for full payment of the total room night commitment outlined. The Group will be responsible for paying the hotel directly for any sleeping rooms, and a credit card authorization form will need to be submitted to ACTRIMS for payment should the actual pickup fall short of the agreed to room commitment.
The group is committing to and shall be responsible for 100% of the total room night commitment.
Contracted hotels will charge Groups for any no-shows or late cancellations.
Sub-block rooming lists are due no later than Monday, December 15, 2025. In the event the room list does not match the number of rooms specified in the Group Sub-Block Agreement Form, ACTRIMS will release the unassigned rooms and has the authority to reassign based on demand. All rooming lists must contain actual individual names and placeholder names will not be accepted.
